Lincoln PTA Interest Survey Form

Lincoln PTA is looking for people to fill its many parent/volunteer positions. Please review the info below prior to moving on to the form. When you are ready, please click on the link above to submit your Interest Form. The name(s) of anyone you would recommend to serve in any of the positions is also welcome and encouraged. Some positions may be held by more than one person, serving as co-chairs.  Some positions are supported by a committee, as needed.  All Executive Board positions are held for a maximum of two years. Executive Board (Elected Officers)

President

Oversees the operation of the PTA.  Is the parent rep for the school with the principal, Harbor Council PTA, District PTA, Zone Pac, teachers and staff.  Oversees the executive board, and general PTA meetings.  Signs contracts and checks.

Executive Vice President – (Ways and Means)

Perform duties of president in the president’s absence.  Aides the president as needed.  Oversees and represents all fundraising chairs.  Is the contact person for Book Fair, Box Tops, Calypso, E-Scrip, Gift Wrap, Cookie Dough, and Lincoln Wear.  Attends meetings for these when necessary, responsible for keeping these chairs in formed with the workings of the PTA guidelines and is the voice on the board for these committees.

1st Vice President - (TLC Chair)

Creates the theme, designs the brochures, oversees, coordinates and runs the annual TLC The Lincoln Commitment fundraising campaign.  Responsible for marketing and follow up.

2nd Vice President - (TLC Treasurer)
Collects the monies for TLC campaign.  Deposits checks, keeps and balances bank statements for TLC account, runs the credit cards.  Keeps record of donor and amounts.  Responsible for transferring needed monies to treasurer and the general PTA account. Liaison & Manager of PTA Merchant account activity, including other fundraisers such as Yearbook, Holiday Greens, Calypso, Spirit Wear and any other use of online payment forms.

3rd Vice President - (Communications)

Responsible for PTA membership campaign.  Oversees and coordinates with the directory chair the PTA membership campaign – Point person for Lincoln publicity.  Oversees all communications by being the contact person for the following chairs – calendar, directory, e-mails, Lincoln Log, marquee, web-site, and yearbook.  Responsible for keeping these chairs informed with the workings of the PTA guidelines and is the voice on the board for these committees.

4th Vice President - (Programs)
Acts as chair of on-campus enrichment programs.  Oversees and is the contact person for all school program chair people – Academic Enrichment, Enrichment Grade Level Liaison, Author Luncheon and Talent Show.  Attends meetings for these when necessary, responsible for keeping these chairs informed with the workings of the PTA guidelines and is the voice on the board for these committees.

5th Vice President – (Community)
Acts as Legislative Rep. for the association – receiving information from PTA about legislative issues and informs the general PTA and board.  Oversees and is the contact person for these community event chairs – Camp Pendleton, DARE, SOS, Red Ribbon Week, Family Events and Open House.  Attends meetings for these when necessary, responsible for keeping these chairs informed with the workings of the PTA guidelines and is the voice on the board for these committees.

Treasurer
Keeps permanent books of accounts and records.  Chair of the budget committee and prepares the budget for adoption by the association.  Receives and retains copy of the deposits made, oversees the auditor, and coordinates audit.  Pay bills.  Keeps membership informed.  Presents a treasurers report at each meeting.  Makes an annual financial report to the assoc.

Recording Secretary
Keeps accurate meeting minutes for board and general PTA meetings. With the president, signs all authorizations for payment, authorizing the spenditure of funds following approval by assoc. or exec board.  Records all expenditures in minutes.  Keeps accurate list of paid members of PTA.  Keeps current copy of bylaws and standing rules.

Corresponding Secretary
Conducts all necessary correspondence of PTA on authorization of the president, exec board or association.  Sends out notices of  executive board meetings.  In charge of the planning and coordination of the December PTA luncheon and the June transition dinner.

Financial Secretary
Gives a receipt for all monies received and remits to the treasurer or deposist in bank.  Gives copy of deposit to treasurer.  Prepares all authorizations for payment to president and recording secretary for signatures.  Keeps an accurate record of all receipts and authorizations for payment.  Presents a monthly report at every meeting of assoc. and exec. board.  Makes an annual report to the assoc.

Parliamentarian
Attends all meetings and gives necessary advice in parliamentary procedures when needed/requested.  Coordinates the nominating committee to put together slate of officers and committee chairs.  Notifies officers of their election and chairs of their appointments.  Chairs by-laws committee and reviews by-laws and standing rules annually.

Historian
Assembles and preserves a record of activities, achievements and volunteer hours of the assoc.  Acts as custodian of records and other materials pertinent to history of assoc.  Assists the president with the preparation of the assoc annual report required by the state PTA.  Oversees and coordinates the volunteer awards monthly as well as at the end of the year dinner.

Standing PTA Committee Chairpersons

ART LIAISON:
Works with the art teacher.  Assists the art teacher. Helps coordinate the Reflections Art Show.  Coordinates teacher appreciation for Art Teacher.

AUDITOR:  Prepares the PTA financial accounts.

BOOK FAIR:  Schedules and organizes the fall and spring book fairs in the Multi-Purpose Room.

CALENDAR: Works with administration and PTA to create the school calendar for distribution to all families.  Primarily a late Spring/Summer job.

CALYPSO CHAIRPERSON:  Organizes and facilitates the yearly dinner, dance, silent auction and live auction fundraiser.  Supported by committee.

CAMP PENDELTON/SAN ONOFRE SCHOOL: Goodwill ambassador.  Coordinates Lincoln gift giving to this community (typically phone cards).  Works with Principal.

COOKIE DOUGH:  Organizes and distributes materials and product for school-wide cookie dough sale. Typically a Fall position.

DARE LIASON:  Works with 6th grade and DARE Officer to coordinate DARE activities.  Must be a Sixth grade parent. 

DIRECTORY:  Organizes school directory for publication and assists Vice-President with PTA membership data.

E-MAILS: Compiles and maintains Lincoln E-mail address book.  Keeps everyone informed on Lincoln meetings, events and happenings via e-mail.

ENRICHMENT LIAISONS: Works with V.P. of Programs and grade level lead teacher to schedule enrichment programs & field trips in a particular grade level (K – 6).

ESCRIP: Promotes and keeps track of Lincoln’s participation in online fundraisers.  A great at home position.

FAMILY NIGHTS:  Organizes free family nights for the Lincoln Community.  Examples:  Movie night, bingo night, math night, etc.

SOS DONATION PROGRAM:  This community outreach position organizes and collects monthly donations from students and delivers them to the SOS organization.

GIFT WRAP FUNDRAISER: Organizes and oversees the gift-wrap fundraiser, including merchandise distribution purchased by students.

HOSPITALITY:  Provides refreshments at Special Events.  Organizes teacher appreciation luncheons.  Requires two people.

LIBRARY VOLUNTEER COORDINATOR:
  Works with the school librarian to schedule parent volunteers to work in the library as needed.

LIBRARY AUTHOR’S LUNCHEON:
  Works with the librarian to coordinate the Author’s Day Reception for the visiting author and staff.

LINCOLN LOG: With assistance of students, publishes the school newsletter on a monthly basis.

LINCOLN WEAR:
  Coordinates the ordering, selling and distribution of Lincoln Wear.

MARQUEE DISPLAY:  Maintains informational sign at the front entrance of campus on a monthly basis.

OPEN HOUSE: Organizes and oversees activities and events related to Open House.  Bake sale/coffee.

PLAY PRODUCER (2-3): Coordinates and organizes the functions of the sixth grade play in conjunction with 6th grade teachers, director, musical director, and choreographer. Must be a sixth grade parent.

RED RIBBON WEEK:  Organizes and facilitates activities during Red Ribbon Week.

REFLECTIONS: Organizes and distributes Reflections Program materials to Lincoln students.  Receives Reflections entries and displays them in the Multi-purpose room.

ROOM PARENT LIAISON: Organizes volunteer sign-ups and orientation for classroom parents.  Liaison between room parents and faculty. 

SCIENCE FAIR: Organizes and oversees the winter science fair open to all students K-6th.

SPIRIT RUN: Organizes and oversees the spirit run fundraiser.

TALENT SHOW: Oversees and coordinates the annual Lincoln Talent Show in the Spring.

WEBSITE:  Oversees and organizes PTA website.

YEARBOOK: Organizes, edits and produces Lincoln’s annual yearbook.
